POSITION
Academy Administrator (part-time)
POSITION OVERVIEW
The Academy Administrator supports the Selangor Symphony Orchestra Academy (SSO Academy) in its development, implementation, and administration of the artistic, educational, and engagement goals. The Academy operates under the Selangor Symphony Orchestra (SSO) and oversees the following ensembles and programmes:

This role involves close collaboration with the Academy’s conductors, coaches, professional guest players, academy parents, concert production teams, schools, corporate partners, government agencies, and community leaders to ensure the effective and smooth operation of all ensemble activities and programmes.
COMMENCING DATE
Position open until filled.
WORK LOCATION
Based in Klang Valley.
HOURS OF WORK & WORK LOCATION
Total 22 working hours per week as a part-time employee.
Monday – Friday: 3 hours a day (work from home)
Saturday: 11am - 6pm (in our orchestra studio in Ara Damansara, Petaling Jaya. Click HERE for our location).
You are required to attend all rehearsals and performances during concert week and this may happen in the evening during weekdays as well as weekends, including Public Holidays.
You are required to go on tour with the organization and this can be locally or overseas. The organisation will cover all your traveling expenses and hotel accommodation.
SALARY
RM1,200 and above per month, subject to experience.
ON DUTY CONCERT ALLOWANCE

RM400 per Concert.
KEY RESPONSIBILITIES
Administration & Coordination
-
Manage enquiries via email, social media, WhatsApp, and phone calls;

Maintain correspondence with subscribers and audience databases;
-
Coordinate meetings, including recording and distributing meeting minutes;
-
Coordinate auditions and related logistics;
-
Manage and update Academy's website and social media platforms;
-
Communicate regularly and work closely with Academy's conductors and coaches, keeping them informed of member-related matters such as absences, new registrations, parent concerns, room arrangements, and other updates;

Act on behalf of the organisation to make announcements to members and parents via WhatsApp broadcasts and orchestra briefings;
-
Take and maintain weekly attendance records for ensembles rehearsals;
-
Assist new members with onboarding and rehearsal preparation reminders;
-
Greet and assist new members, parents, and visitors;
-
Perform music librarian duties, including photocopying scores, printing and uploading sheet music to Google Drive, etc.
Concert Production & Events
-
Support the planning and execution of Academy concerts, workshops, and activities;
-
Be on duty during rehearsals, concerts, and ensemble events;
-
Assist with venue bookings, licensing, and permits;
-
Coordinate travel and accommodation arrangements for guest artists;
-
Contact professional guest musicians to perform with the Academy;
-
Assist with on-stage and backstage operations during concerts;
-
Assist in poster and promotional material design for Academy events and productions.
Finance & Accounts
-
Maintain bookkeeping and administrative financial records;
-
Issue invoices to members and parents, and assist with fee collection;
-
Liaise with accounting services for reporting and audits.
Others
-
Perform additional duties as assigned.
